The position

Job description

Role:
As a Resort Manager Deputy for Ibiza (Spain), you will assist the Resort Manager in coordinating operations and local teams. Your primary mission will be to ensure the smooth execution of client stays while optimizing property management and supporting administrative tasks related to the activity.
You will play a key role in daily management, seasonal preparation, and the coordination of field teams. This position involves a variety of tasks, with a significant administrative workload, especially during the off-season. Strong autonomy and the ability to prioritize tasks are essential for success in this role.

Objectives:
1️⃣ Operational and Administrative Support

  • Coordinate and supervise local teams (concierges, runners, representatives, etc.) to ensure optimal service quality.
  • Ensure the quality and compliance of villas before and during the season.
  • Deliver an exceptional client experience while adhering to Le Collectionist standards.
  • Administrative management, such as:

    • Managing schedules and personnel needs for the sector.
    • Supporting pre-arrival concierge teams with administration and payment management.
    • Documenting property condition observations after client stays and following up on necessary repairs.
    • Assisting the team with invoicing and concierge service payments.

2️⃣ Portfolio Optimization

  • Collaborate with the Resort Manager to enhance property activation and maximize performance.
  • Update property information (photos, descriptions, amenities) and owner contracts.
  • Monitor villa performance indicators and escalate issues when necessary.
  • Participate in property audits to ensure compliance with company standards.

3️⃣ Owner and Vendor Relationship Management

  • Follow up on owner requests for property updates.
  • Act as the primary contact for owners during client stays throughout the season.
  • Build and maintain trust-based relationships with local vendors to ensure service quality.
  • Help resolve disputes related to client stays or owner requests.

Working Hours and Role Specifics:

  • Primarily weekend work during the season, with rotations organized within the team.
  • Availability required during high season to meet on-the-ground operational needs.
  • High flexibility expected during peak season, especially for unforeseen client stay issues.
  • More administrative and property follow-up tasks during the off-season.
  • Overtime recovery based on workload.

Preferred experience

  • Strong interpersonal skills and adaptability to interact with various stakeholders (owners, vendors, clients).
  • Team-oriented mindset and natural leadership to support and oversee local teams.
  • Customer service and attention to detail, with the ability to handle sensitive situations diplomatically.
  • Administrative rigor and proficiency with management tools (CRM, invoicing software, etc.).
  • Flexibility and availability to handle high activity peaks during the high season.
  • Experience in villa management or operations in the luxury or hospitality sector.
  • Bilingual in English (a third language would be a plus).
  • Valid driver’s license for manual cars
