AFP news agency seeks an Administrative Assistant

The Administrative Assistant is responsible for general office tasks and administrative duties which includes but not limited to:

  • Perform reception duties, answer the office ‘s line with professional manner and handle enquiries, handle daily incoming/outgoing mail and courier shipments, Meeting room booking, documents distribution, handling building access card, document submission outside the office (bank, government offices…).

  • Participate in all round office administration duties and act as the contact person e.g. relation with the building management, office cleaning, renovation and repair including on emergency.

  • Handle affairs about office hygiene and utilities together with the Office Manager.

  • Communication with staff about workplace cleanliness and office administration (office maintenance/renovation schedule, updates from the building management office)

  • Provide full spectrum of administration service to the office. Include maintaining the office’s tidiness and taking stock of office’s equipment facilities, and furniture including emergency supplies, general office supplies (stationary, groceries) and proceed with purchase together with the Office Manager

  • Support the Office Manager in preparing, booking travel/visits/overseas assignments (flights, accommodations, transport…) and issuing missions orders, when necessary.

  • Help the Office Manager to review and approve/reject staff’s expenses claims.

  • Provide guidance to staff on using the AFP claims platform.

  • Together with the Office Manager and the Administrative Officer, participate in organizing corporate events and staff relations activities such as annual dinner, Welcome/Farewell party, Christmas party, team building event, etc.

  • Other ad-hoc admin and office duties as required

  • Provide assistance/information to staff when needed


Preferred experience

  • Minimum 3 years of experience in administration ideally in a multinational environment

  • Good command of written and spoken English is a must

  • Computer literate

  • Meticulous and able to work under tight deadlines

  • Agile and ability to adapt in a fast-paced environment

  • Excellent interpersonal skills, ability to listen, sense of service
