We are seeking a proactive and detail-oriented Junior Assistant to provide crucial support to the Head of Finance Transformation and the Senior Assistant to the Group Chief Financial Officer. This role will be instrumental in ensuring the seamless execution of day to-day activities by efficiently handling administrative tasks and providing essential clerical support.

Key Responsibilities:

Under the guidance of the Senior Assistant, the Junior Assistant will be responsible for the following key activities:

  • Managing administrative requests and inquiries from senior managers.
  • Organizing and scheduling appointments using Outlook.
  • Handling phone calls and directing them appropriately.
  • Maintaining updated contact lists.
  • Researching and arranging travel logistics.
  • Managing and reconciling expense reports.
  • Welcoming and assisting visitors.
  • Acting as a primary point of contact for internal and external clients.
  • Assisting with the onboarding and offboarding processes for new starters and leavers.
  • Collaborating with the Senior Assistant on project implementation.
  • Providing office coverage during the Senior Assistant's absence.

Applicant Profile:

  • Completion of Bac +2 training (BTS Assistant de Direction/Assistant Manager).
  • Previous administrative experience is desired.
  • Proficiency in Microsoft Office programs and tools.
  • Knowledge of communications, social media, and marketing is an asset.
  • Excellent interpersonal skills with the ability to work effectively with individuals from diverse cultural backgrounds.
  • Exceptional communication skills with fluency in both oral and written English. Knowledge of German is an asset.
