Within the Workplace department and in charge of the 2 french facilities, the Office Manager is responsible for the efficient functioning of the office through a range of health & safety, administrative, financial and managerial tasks.
The Office manager's role is to ensure the smooth running of the office on a daily basis and will be responsible for the delivery of all of the above areas of responsibility. This will require the management and scheduling of 1 person, to meet the varying loads required throughout the day.
What you will do:
Budgets
- Manage office G&A budget
- Create budgets for all areas within responsibility
- Ensure accurate and timely reporting
- Look for savings
- Manage purchase orders and payments
Procurement & suppliers management
- Manager bid for tenders with the Purchasing teams
- Validate & challenge specifications to get the best deals
- Day to day administration & management of contracts (security, reception, cleaning, plants, water supply, maintenance…)
- Suppliers quality control
- Requests for additional purchases outside of agreed contracts
Property & space management
- Manage day to day issues with properties representatives
- Maintain the office condition and arrange necessary repairs
- Organise the office layout and moves
- Organise construction works
Health & safety
- Annual building inspections and legal and operational compliance
- Fire drill employees trainings
- Safety employees trainings
Services to the teams
- Stationery, goodies, furniture… order management
- Cafeteria supply
Events and meetings
- Plan in-house or off-site activities, like parties, celebrations and conferences
Other
- Partner with HR
