The position

Job description

Within the Workplace department and in charge of the 2 french facilities, the Office Manager is responsible for the efficient functioning of the office through a range of health & safety, administrative, financial and managerial tasks.

The Office manager's role is to ensure the smooth running of the office on a daily basis and will be responsible for the delivery of all of the above areas of responsibility. This will require the management and scheduling of 1 person, to meet the varying loads required throughout the day.

 

What you will do:

Budgets

  • Manage office G&A budget
  • Create budgets for all areas within responsibility
  • Ensure accurate and timely reporting
  • Look for savings
  • Manage purchase orders and payments

Procurement & suppliers management

  • Manager bid for tenders with the Purchasing teams
  • Validate & challenge specifications to get the best deals
  • Day to day administration & management of contracts (security, reception, cleaning, plants, water supply, maintenance…)
  • Suppliers quality control
  • Requests for additional purchases outside of agreed contracts

Property & space management

  • Manage day to day issues with properties representatives
  • Maintain the office condition and arrange necessary repairs
  • Organise the office layout and moves
  • Organise construction works

Health & safety

  • Annual building inspections and legal and operational compliance
  • Fire drill employees trainings
  • Safety employees trainings

Services to the teams

  • Stationery, goodies, furniture… order management
  • Cafeteria supply

Events and meetings

  • Plan in-house or off-site activities, like parties, celebrations and conferences

Other

  • Partner with HR
  • Partner with IT
  • Partner with work councils
  • City Hall & neighbours point of contact
  • Implement & update Workplace policies
