Within the People & Office team of 10 members, reporting to Juliette - Senior Office Manager, you will support our French employees across offices in Paris, Nantes, Limoges, and Valbonne by ensuring seamless office operations, coordinating supplies, maintenance, safety compliance, reception duties, and onboarding, fostering a vibrant and efficient workplace environment throughout our French offices.
Key responsibilities
Welcome Desk (Paris focus):
Manage reception activities including visitor management, phone calls, and visitor log maintenanceManage entry passes for on/offboarding and specific access such as parkingHandle mail and delivery management including sending, receiving, and distributionSupport requests such as ordering taxis and courier servicesManage meeting room schedulesLead onboarding presentations for new employeesCoordinate the ordering of business cardsOffice Management (France):
Procure and manage supplies, ensuring timely replenishmentCoordinate the ordering and setup of furnitureManage service providers and coordinate their activitiesArrange catering orders and oversee setupMaintain premises and liaise with landlordsCreate and maintain signage as neededManage lockers in a flex. office environmentEnsure compliance with local safety regulations in collaboration with local HRAdminister Moffi, our hybrid work software, for administrative purposesHandle daily requests from employees through Siit, our ticketing systemAssist employees with travel arrangements through NavanSupport the organization of events in the office to ensure the smoothest Employee ExperienceAbout you 💪
