In this role, your agenda will mostly consist of providing support to General Manager and locally handling a selected range of administrative tasks for People & Culture team. Your responsibilities will span across various highly important tasks, making you a key player in the smooth operation of multiple processes across teams.
· Support the General Manager (GM) in all administrative areas with accurate preparation and delivery connected to weekly agendas. Organize and maintain agendas and itinerary of General Manager up to date.
· Support GM in internal communication publication, translations, and event organization as required.
· GM budget planning, cost control, providing information to the Finance team in line with reporting deadlines
· Manage purchases in SAP for GM and delegated People & Culture (P&C) areas, including Purchase Requisitions (PRs), Goods Receipts (GRs), vendor creation/extension, etc.
· Make required travel and entertainment arrangements and keep logistics and organization of all meetings and events. Physically or virtually organize events connected to the GM / P&C (Town Halls, Xmas Party, etc.) and other meetings, managing all respective tasks of the events. Coordinate preparations for management events and projects, providing efficient support for seminar & conference logistics needed.
· Coordinate and execute administration of Learning and Development programs, including, but not limited to, Language Learning Program. Fully schedule, coordinate, and support local trainings. Selected vendor/provider management. Be in charge of local administration of legal documents, contracts, etc. Support related communication coming from People & Culture team.
· Provide support to Legal department, when required (maintenance of contract table etc.).
· Proven experience as a personal assistant / administrative coordinator supporting high profile individuals
· Discreet, proactive, and enthusiastic about changing environment
· Excellent communication skills in both English and Czech
· Tech-savvy and proficient in MS Office
· Detail-oriented and organized, with strong time management and prioritization skills
· Agile and flexible, capable of managing last-minute requests with a can-do attitude
