The position

Job description

We are looking for a resourceful and proactive Executive Assistant to provide comprehensive support to our Executive committee and more specifically to our CEO based in Madrid (a presence in the office for at least 3 days per week is preferred). 
The ideal candidate will bring over a decade of administrative experience, including direct support to senior executives or Comex members (CCO and CFO). This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Responsibilities

You will play a pivotal role in supporting the CEO and some C Suits by ensuring efficient management of daily operations, communications, and strategic initiatives. You will be responsible for handling schedules, arranging travels, coordinating key meetings, and acting as a bridge between the CEO and various stakeholders. 

  • Provide high-level administrative support to the CEO, ensuring seamless daily operations.
  • Proactively manage and coordinate sophisticated calendars, by prioritizing and arranging internal, external meetings and travel arrangements.
  • Provide administrative support to Board members (CCO and CFO), managing multiple complex calendars and organise travel arrangements and accommodations when required.
  • Prioritize inquiries and requests; make recommendations to ensure smooth day-to-day engagements.
  • Prepare reports, presentations, and correspondence on behalf of the CEO.
  • Act as a liaison and provide administrative support to the Board of directors : arrange logistics for Board meetings and events.
  • Serve as a primary point of contact for internal and external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Assist in project management and coordination of strategic initiatives.
  • Act as an Office manager coordinator, managing lease and budget, articulating local resources, ensuring the efficient running of the office and creating a welcoming environment.

Qualifications

  • 10+ years of experience in administrative roles.
  • A prior role supporting a C-level executive or Comex member.
  • Proficiency in English and Spanish (French would be a plus)
  • Deep knowledge and proven expertise in managing complex projects or specialized tasks in similar environments.
  • Excellent time management skills with the ability to manage multiple deadlines. 
  • Strong organizational skills, exceptional attention to detail and proactive attitude.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and handle multiple priorities in a fast-paced environment. 
  • Proficiency in Microsoft Office suite and Google suite as well as other productivity tools.
  • High level of discretion and  professionalism when handling sensitive information.
