As a Change Management Specialist, you will be responsible for coordinating and supporting all the activities related to change management and procurement processes in the MSF SITS organization.
The scope of activities includes administrative management of change and procurement requests in the ITSM platform for SITS, coordination of technical support staff, engineers, managers and third parties involved, following up on change activities assigned to respective individuals or teams, documentation associated with change and purchase requests and implementation and improving and streamlining processes.
The Change Management Specialist ensures that these activities are delivered within quality requirements, on schedule, and on budget. The role is a part of the SITS Projects &Partnerships department (P&P) and the role will also provide support as requested to other projects in flight in SITS. Most of the changes and projects in scope are IT related.
Responsibilities
Oversee the implementation progress of changes in ITSM (Change enablement according to ITIL v4)
Keep process documentation up to date and provide inputs for improvement
Provide direction and support to technical teams and individuals for the change and procurement processes
Provide internal training on the change process including development of training materials
Regularly document and report on change and procurement statuses, including conducing quality assurance checks on the overall process
Communicate with stakeholders outside SITS and coordinate with teams internally on delivery
Organize and facilitate regular CAB (change advisory board) meetings
Coordinate the MSF SITS procurement process steps, including the Request for Proposal/Quotation process
Prepare proposals, request quotes and negotiate purchase terms and conditions
Collaborate in preparing purchase orders and agreements
Monitor supplier performance and resolve issues and concerns.
Bachelor’s degree in Business Administration, Information Technology, Supply Chain Management, or a related field.
Knowledge of ITIL v4 or equivalent experience in IT Service Management (ITSM) and Change Enablement.
2 years of experience in procurement and change management, preferably within an IT environment.
Strong understanding of procurement processes, including Request for Proposal/Quotation processes.
Experience in coordinating and facilitating Change Advisory Board (CAB) meetings.
Excellent communication and interpersonal skills to effectively interact with stakeholders and internal teams.
Strong analytical skills to assess market characteristics, potential suppliers, and risks.
Proficiency in using procurement and ITSM tools and software.
Strong leadership and team management skills.
Excellent organizational and time management abilities.
High attention to detail and quality assurance.
Negotiation and conflict resolution skills.
Ability to develop and implement sourcing strategies.
