Position Summary
This position is within our People & Culture team and will report to the Director of People & Culture (Paris). The HR Operations Specialist will ensure proper functioning and support to the teams based in our Paris office (currently 60 people). Key responsibilities include managing payroll and HR administrative topics, while ensuring the best employee experience in the Paris office and promoting our Prose values.
Key Responsibilities
Payroll and HR Admin:
- Liaise with our Payroll Provider (software: Payfit) to ensure accuracy of payroll. Collect and enter all variable information (public transport tickets, promotions, on-call, lunch vouchers etc.), check and edit individual pay slips, and process payroll entries and exits.
- Ensure proper management and updates of personnel files and HRIS (contracts, addendums, documents, etc.).
- Process and monitor the employees’ absences (leave, sick leave, maternity/paternity leave, etc.) in accordance with the company’s collective agreement (CCN Syntec).
- Manage proper execution of all entry and exit formalities and ensure good communication.
- Provide headcount reporting, on a monthly basis, and set up accurate KPI for equity.
- Collaborate with the Finance team based in New York City for budget monitoring.
- Ensure a legal watch on all these topics and act as the point of contact for our teams.
Office Management:
- Liaise with the facility manager from Deskeo (Workspace rental) to ensure a smooth in-office experience
- Organize internal events (specific events celebration, trainings, conferences)
- Proactively research new ideas & service providers in the frame of the company policy and continuous improvement.
- Act as Prose’s values ambassador and actively contribute to the successful onboarding of new hires while providing an inspiring team life at the Paris office.
Key Candidate Requirements
- A previous experience in HR admin and Payroll required. Office management is a plus.
- Fluent in both French and English for effective collaboration with the US teams.
- Detail-oriented with demonstrated ability to multitask with a high level of initiative and motivation.
- Skilled at combining the sense of confidentiality required for this type of position with a genuine People Care attitude.
- Excellent interpersonal and communication skills.
- A good knowledge of our collective agreement (CCN de la Syntec) is a plus.
- Experience using Payfit is a plus.
