Main responsibilities :

The Executive Assistant is responsible for performing a variety of administrative, business supportive, technical and clerical tasks and activities including but not limited to meeting and calendar prioritization & management, travel arrangements, expense reporting, project support, procurement administration, communications, ad hoc support as needed. The Executive Assistant is fully involved with the daily work of the team, supporting events, workshops and weekly team meeting preparation.

  • Effectively schedule and coordinate meetings and specific events (workshops, off-sites)
  • Schedule and organize business trips of the team
  • Book travel arrangements / make expense reports
  • Enter Purchase Requisitions and track Invoices
  • Onboard newcomers in the teams (including logistics: IT/badge, etc) and Offboarding
  • Budget Management and Travel & Expenses follow up
  • Provide help/training on Sanofi tools to the teams
  • Being part of the Science Hub Executive Assistants group
  • Ensure the back up for the assistant to the Head of Science Hub

About you :

  • Previous experience in a similar role
  • Confidentiality
  • Ability to adapt to a complex and fast-moving environment/flexibility
  • Excellent organization and time management (Manage priorities, anticipation travels, meetings, rearrange agenda)
  • Fluent English (spoken and written)
  • Strong international and multicultural approach
  • Good computer skills and knowledge of the Sanofi-specific tools (Concur/My Travel, ITS portal, e-Bap/Leo, Workday, Powerpoint, Excel, Teams, etc.)
  • Proactivity, collaborative, flexible and team player
  • Positive attitude, engaged and enthusiasm
  • Knowledge in Communications is a plus
