Reporting to the Office Manager in TheFork, the “Office Manager Junior” has a key role in the company to help with the office and work events organization and increase the employees’ satisfaction. 

We are looking for an enthusiastic, fun and amicable person that loves to work with people and has exceptional organisation and coordination skills.

Key Responsibilities

Front Desk & Office Management

  • Manage the reception area, welcoming employees, clients, and visitors.
  • Oversee the general organization and upkeep of the office, including meeting rooms, workspaces, common areas, and catering services.
  • Ensure office supplies, food, and equipment are well-stocked and managed.
  • Coordinate with vendors and service providers for office logistics (maintenance, cleaning services, office materials, etc.).
  • Handle incoming and outgoing mail and packages.

Administration & Finance Support

  • Assist with basic administrative tasks, including invoices and purchase justifications.
  • Ensure compliance with company procedures regarding office management.
  • Support travel bookings and reservations for employees when needed.

Event Organization & Employee Well-being

  • Support the planning and execution of corporate events, team-building activities, and employee well-being initiatives.
  • Manage small internal events (afterworks, employee gifts, etc.).

General Support

  • Assist with onboarding and offboarding logistics for new hires in coordination with HR and IT (travels, equipment assignation, badges, business cards)
  • Work closely with office management teams in other TheFork locations to align processes.
  • Proactively suggest improvements for office efficiency and employee experience.

What We’re Looking For

🔹 1-2 years of experience in a similar role in an office environment.
🔹 Strong organizational skills and the ability to multitask.
🔹 Positive and friendly attitude, enjoying teamwork and problem-solving.
🔹 Proficiency in English and Italian (written and verbal).
🔹 Autonomous and proactive, taking initiative to improve processes.
🔹 Event planning experience is a plus.
🔹 Flexibility and adaptability to a dynamic work environment.
