Job Description

Job summary

Ensures the facility management activities and efficiency of the campus buildings and spaces in compliance with HSS (health, safety and security) legal requirements and general services to support the operational processes. Supervises and coordinates laboratory activities.

Key purpose of the role

Facility - Supervises the planning and coordination of outsourced activities involving external suppliers in charge of the maintenance of buildings, systems and equipment, of cleaning operations, security, porterage, and vending machines located in the campus; supervises in-house operational activities: distribution of classroom keys, checking of spaces (classrooms, laboratories, offices, shared areas), internal relocations, set-up of spaces for events, minor maintenance operations in storages and purchases of office supplies; ensures the coordination of extraordinary works.

Health, Safety and Security - Supervises activities of external suppliers in order to be in compliance with health and safety (DVR, fire drills, etc.) and firefighting requirements; oversees activities related to the management of digital and physical archives of the building practices; ensures management of the first aid and of the emergency situations (daily emergencies: interventions by ambulances, police, VVFF, etc.).

General Services - Manages relations with the site owners and the canteen company; ensures management of the vehicle fleet; manages insurance coverages in relations with the insurance broker; ensures the administrative management of all ongoing rental agreements.

Postal Service - Supervises the management of post office activities and the receipt and distribution of packages for students and staff; supervises administrative archive activities (practices from consulates and external faculty contracts).

People Leadership and Management - Ensures the management of resources under his/her responsibility, their professional growth and the development of their skills; plans and organizes their work and activities and assigns new projects; approves holiday plans and leaves and plays an active part in the selection of resources; ensures compliance with company policies, of the ethical code and procedures; actively supports change management and innovation initiatives; ensures that all documentation is correctly updated and archived on an ongoing basis.
