We're looking for an Office Manager who can support the day-to-day life of our Paris office.

You will join our People team, whose mission it is to support our employees and help drive the team’s strategy forward.

Reporting to our Workplace Experience Manager, you’ll take on a variety of responsibilities to ensure our Paris office is in top shape. Here’s what your main responsibilities will include:

Operational Management of our Paris Office (60%)

  • Manage day-to-day operations of our Paris office,  ensuring our offices are maintained to a high standard, and spot necessary adjustments, fixes, repairs and improvements 
  • Track and manage stock levels for snacks, coffee, beverages, and other consumables to ensure consistent availability
  • Coordinate with IT department on all office equipment
  • Manage office supplies and goodies: maintain inventories and reorder when necessary
  • Coordinate with service providers and suppliers to ensure optimal operations (cleaning, technical services : printers, tvs, security), and address any discrepancies promptly to our providers
  • Ensure safety policies: badge management, visitor registration
  • Quickly and effectively address employee requests and prioritize accordingly
  • Continuously improve operations based on employee feedback
  • Order meals / organize breakfasts when needed 
  • Ensure the proper functioning of office equipment, including printers, tvs, and visioconference systems 

Happiness Management (30%)

  • Organize regular afterworks in our Paris office to strengthen team bonding experiences 
  • Help in the organization of team events when needed (team lunch, team dinner, team activities…)
  • Organize team projects of our team members via our platform Teamstarter

Internal Communication (10%)

  • Support communication on local activities and best practices
  • Manage social media updates to share our company Culture (Instagram)
  • Manage our “News” Screen where we share all company news on a bi-weekly basis 

Requirements

  • A prior experience as an Office Manager, ideally in fast-paced startup
  • Ability to handle a high volume of employee cases with a focus on detailed tracking, timely follow-up, and adherence to procedures.
  • Multitasking ability with a focus on prioritizing tasks to maintain efficiency and responsiveness in a high-demand environment.
  • Excellent oral and written communication skills to build and maintain strong relationships with both internal and external stakeholders.
  • Able to adjust quickly to change and have strong organisational skills 
  • Fluent in English and French

Important: You must possess an employment status: French or Schengen area nationality or a ‘carte de séjour’ that will allow you to work from our Paris office. We are equally open to the visa sponsorship of non-EU candidates as long as they are already in possession of their final diploma / attestation of their final academic results.
