The position

Job description

The position is within the IT Coordination Unit (ITCU).
ITCU is responsible for EBA CLEARING corporate IT activities and provides, operates, supports the IT infrastructure and administrative applications. The core applications of EBA CLEARING are supported by another IT Development team. The IT infrastructure is outsourced mainly to independent service providers

IT corporate activities include and are not limited to users’ identity management, company managed (tablets and mobiles) devices, access controls, meeting solutions, networks, IT infrastructure.

EBA CLEARING has adopted a cloud first approach that aims to address quickly, effectively, and securely the needs triggered by the business.
The IT Specialist will join the IT Coordination Team and will report to the Head of ITCU. We are looking for an IT professional, who, as part of ITCU, will:

  • contribute to the operation of IT infrastructure and administrative applications

  • acting as a point of contact and first line support to assist EBA CLEARING users (both physically and remotely) for their day-to-day issues in relation to the IT infrastructure and administrative applications, incidents and software installations, inquiries about the MS Office and other office automation products

  • tracking, coordinating and following-up incident and problem resolution with the IT service providers in accordance with the agreed service levels for the infrastructure

  • defining new and improving existing processes for IT support

  • defining and monitoring KPIs for IT support

  • drafting and maintaining technical documentation and user manuals for infrastructure and applications

  • contributing to the technical library and ensuring the consistency with existing policies, drafting and validating technical designs for the IT infrastructure

  • contributing to drafting technical specifications for tender procedures and participating in the evaluation

  • purchasing of hardware and software from existing framework contracts

  • participate and conduct IT projects.

  • performing general administrative project related tasks (e.g. reporting, communication, coordination, etc.)

  • performing specific project related tasks (e.g. preparation of various types of formal project related documents, status reports, letters and memos, approval requests, review and tracking of project-related documents

  • assembling, collating, distributing and archiving project information and providing this information on request

  • updating project information and documents and maintaining the project records including the preparation and follow-up on project related documents, project plans, status reports, letters and memos, and tracking of deliverables and approvals, etc.

  • administering project related communication including acting as a focal point for the projects, using any kind of communication tools required for the project (e.g. email, documents) ensuring an efficient communication flow within the project and externally

  • ensuring the proper setup and a follow up of project/ program related meetings (e.g. summarising the feedback for documents and minutes taking of project activities and actions)

  • animate and coordinate internal user training sessions on the IT infrastructure and administrative applications

  • coordinate and maintain the relationship with external suppliers.

  • work closely with internal functions (HR, Finance, Office Management) to ensure the adequate level of services to EBA CLEARING users.


Preferred experience

The profile

The successful candidate will have:

  • a Computer Science Degree in Information Technology, any further education in IT, Service Management, Project management being a plus

  • at least 5 years of proven fulltime professional experience in the field of IT of which at least 3 years in a comparable position

  • excellent problem-solving skills and the ability to determine the most appropriate solution to an identified incident or problem

  • fluent in English, both written and spoken, and fluency in French. 

  • experienced in providing IT support in an international environment

  • strongly experienced in deploying, administering, and managing Microsoft Azure/Office 365 stack (Office 365, Azure AD, Intune, Defender, Teams and Teams Room System) on users’ devices, accounts and profiles

  • experienced in configuration and troubleshooting of end user devices (laptops, tablets, etc.)

  • acquainted with next-gen networking solutions (Meraki)

  • comfortable with remote assistant solutions (LogMeIn, TeamViewer)

  • at ease with ticketing platforms (Atlassian Cloud, Jira Cloud)

  • knowledge about patch management solutions in cloud environments

  • familiar with Zero Trust approach

  • very good knowledge of MS Office (Word, Access, PowerPoint, Excel and Outlook)

  • excellent knowledge of project terminology in IT environment

  • good understanding of IT processes and environment

  • proven experience in assisting and supporting project management in an international, multistakeholder environment

  • proven experience in organising meetings independently, taking minutes and coordinating administrative activities, as well as preparing administrative documents

  • flexibility in taking over other tasks in view of a dynamic and evolving IT environment

  • ability to manage own workload and work without close supervision

  • being a good team player with strong interpersonal skills
