About the role

As “Workplace Experience Manager and Executive Assistant” you will be responsible for ensuring great service to all our employees, as well as our guests. Provide a warm and friendly welcome for employees and visitors and greet them upon arrival.

Our Office team plays a vital role in making Slimpay a great place to work and maintaining our great culture, and the Workplace Experience Manager and Executive Assistant will take initiative in these areas.

To succeed in this role you need to be proactive, a problem-solver and have organizational skills.

The position reports operationally to the Head of HR, based in Paris, and functionally to the Director of Workplace Experience, based in Stockholm.

Workplace experience:

  • Manage all internal office affairs, making sure things run smoothly day to day

  • Ensure employees and guests receive a high level of service

  • Act as first contact for office employees

  • Manage office budget

  • Support Director of Office Management with projects both locally and internationally

  • Organize and execute internal events and activities to enhance team cohesion and engagement

  • Manage conference area

  • Be responsible for physical safety and security in the office

  • Negotiate with suppliers

  • Handle purchases and procurement for the office

  • Bringing our values and principles ​​to life every day

Administrative management of staff:

  • Support onboarding and offboarding processes, ensuring a smooth transition for new hires and departing employees

  • Assist with the administration of HR policies and procedures, maintaining compliance with company standards

Executive Assistant:

  • Ensuring the Executive Managers can focus on their daily hectic work by ensuring a smooth aid on everything around them

  • Coordinate calendars and meetings

  • Create presentations for internal and external meetings

  • Coordinate point-to-point travel needs (car, flight, hotel, etc.) and be main contact for the company travel agency

  • Assist the Management team with administrative tasks

  • Reporting of expenses


Preferred experience

To succeed in this position:

  • You have at least 3 years of working experience as an Executive Assistant (or PA) and/or Office Manager

  • Ability to prioritize and re-prioritize in a dynamic environment

  • You have a true “service soul,” always aiming to exceed expectations

  • You are a great coordinator, with an eye for detail

  • You are creative and never reluctant to roll up your sleeves and get things done

  • You probably come from the hospitality sector, but most importantly, you have the instinct needed to provide great service and thrive on making things happen

  • Bilingual in French and fluent English: day to day working languages
