Job description

We are looking for our future Office & Event Manager!

As part of the team, and alongside Marion our HR Manager (that’s me 👋), Nathalie, our Administrative and Financial Manager and our two apprentices Kaënaath and Hafsa, you are about to embark on an exciting adventure!

We are at the heart of all of our teams, and your role will allow you to not only understand the needs of each team, but also have an impact on creating the best experience for our employees. We believe that there are as many employee experiences as there are different profiles, and our goal is to provide personalized and nurturing moments.

💪Your mission, if you accept it, will be distributed as follows:

35% of the role concerns 🎉 Team Events: Organize our internal events!

  • Such as our annual seminar and various other events (team building, after work, ice breakers, random lunches, Christmas party…) and managing the corresponding budgets.

All formats and activities can be as different as your ideas! Again, we all have different profiles and there should be something for everyone as we are looking to maintain an inclusive environment 😊

35% of the role concerns 🖇️ Office Life: Your mission is to build the best place to work for our Paris office! The goal is to create an inviting and pleasant work environment.

  • Ensure that offices are properly maintained (decoration, security..)

  • Manage facilities (stock of necessities, snacks, coffee, etc.) and suppliers (cleaning services, fruit basket service, plant maintenance, organising our massage sessions, etc.).

  • Ordering and maintaining office supplies: desks, chairs, pens, computers, large and small equipment

  • Offer new services (e.g. sports or other…)

  • Welcoming visitors and organising visits for our teams’ partners (for example when our Revenue or Tech team are hosting guests)

15% of the role concerns 🤝 Onboarding: Welcoming employees!

  • Before: prepare the welcome kit (goodies), stock computers (ensuring smooth IT setup) and access to tools, make an announcement to the team via Slack..

  • On the day: welcome the newcomer, organise an arrival breakfast with as many teammates as possible, their first lunch, prepare an icebreaker to introduce him/her to our Monday meeting..

You will be the first point of contact for employees!

15% of the role is allocated to 📈 Admin tasks:

  • Providing financial & administrative support when needed to Nathalie and Hafsa; this can concern managing contracts, bills, payrolls, budgeting, etc.

  • Maintaining office efficiency by planning and implementing office systems, layouts, and equipment procurement.

Recruitment process

  • 30-min call with Marion and/or Kaënaath

  • 30-min interview with Nathalie

  • A case study followed by a 1 hour debrief with the team, with dedicated time for mutual feedback.

We conclude this process with a visit to our Paris offices, and if all goes well… Welcome aboard! 🏡
