We are seeking a dedicated professional to oversee the operational health, safety, security, and facility management of our new office. This role requires a proactive and organized individual responsible for ensuring a welcoming, efficient, and safe environment for all employees and visitors.
Key Responsibilities
1. Safety and Security
- Coordinate and lead all safety protocols, including office risk management and prevention.
- Serve as the Health & Safety ambassador and head of the emergency response team.
- Conduct and oversee safety inspections and audits to ensure compliance.
- Manage and issue access tags in alignment with security regulations.
- Act as a key contact for security-related inquiries.
2. Facility Management
- Oversee building maintenance and ensure smooth functioning of office facilities.
- Manage workplaces, including meeting rooms, and shared office resources.
- Support as the first point of contact for phases 2 and 3 of the office renovation project.
- Liaise with the building owner, external suppliers, and the Apollo team to address facility-related concerns.
3. Office Supplies and Inventory
- Manage the procurement of office supplies, home-work materials, groceries, and cleaning materials.
- Coordinate with the external cleaning team to maintain a clean and organized workspace.
4. Welcoming and Employee Support
- Be the face of the office, creating a warm and professional first impression for internal colleagues and external visitors.
- Act as the first point of contact for new hires, assisting them during their initial weeks of employment.
- Provide necessary equipment and conditions to promote team well-being and productivity.
5. Event Organization
- Co-organize sports and community events to foster a sense of belonging.
- Support the coordination of local and international projects led by Decathlon.
6. Administrative Support
- Manage financial administration tasks, such as processing invoices.
- Organize and maintain pool car and parking arrangements.
- Act as a primary point of contact for the coordination of office supplies and operational finances.
What do we expect from you?
- MBO+/HBO diploma and service driven mindset.
- Strong organizational and multitasking skills.
- Available for a minimum of 4 days per week in Apollo building Amsterdam.
- Excellent command of the Dutch and English language.
- Work experience in a startup environment in the digital, creative or hospitality world is an advantage.
