We seek a Production Administrator to oversee and streamline legal, financial, and administrative processes for our production operations in France, the UK, and Spain.

The Production Administrator will play a pivotal role in supporting all line producers in achieving their production goals efficiently, while ensuring the smooth operation of production activities by overseeing legal, financial, and administrative processes.

The position demands a highly organized professional with a strong attention to detail, a deep understanding of compliance requirements, and the ability to work collaboratively across departments and with external partners.

Responsibilities

Legal & Compliance

● Contract Management: Draft, review, and oversee contracts, including PSAs, license agreements, NDAs, composer agreements, and publishing agreements.

● Music Rights Management: Maintain and regularly update music rights documentation, such as cue sheets and PRIF, ensuring compliance with all legal requirements.

● Compliance Oversight: Ensure all production activities comply with local regulations across France, the UK, and Spain.

● Legal Liaison: Serve as the primary liaison for legal inquiries related to production activities.

Financial Administration

● Budget Monitoring: Track production budgets and ensure compliance with financial policies and guidelines.

● Financial Reporting: Generate, consolidate, and review financial reports from third-party vendors.

● Invoice Management: Manage invoices and follow up with line producers and accounting teams to ensure timely payments.

● Incentive Applications: Oversee tax rebate, grant, and incentive applications, ensuring alignment with country-specific financial regulations.

Human Resources

● Payroll Management: Administer payroll contracts, employment terms, and agreements for local operations.

● Employee Support: Act as the primary contact for employment contract queries and invoice processing.

● Confidentiality Standard: Maintain accurate records and documentation (NDAs) for all production activities.

Process Improvement

● Workflows Improvements: Identify and implement innovative solutions to enhance legal, financial, and administrative workflows.

● Template Management: Develop and optimize templates, tools, and processes to improve efficiency and reduce redundancies.

● Cross-Departmental Coordination: Foster collaboration between legal, financial, and production teams to ensure seamless communication and alignment.


Profil recherché

● Minimum experience of 3 years in the Entertainment industry, ideally within a production, legal, or financial role.

● Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

● Ensures accuracy and precision in all tasks, especially in legal and financial documentation.

● Excellent communication and interpersonal abilities, with the ability to clearly explain complex ideas and processes.

● Proficiency in financial reporting tools, document management systems, and production softwares.

● Adept at resolving issues independently while maintaining a collaborative mindset.

● Ability to navigate complex legal and compliance matters with discretion and professionalism.

● Takes initiative to improve processes and resolve challenges without waiting for direction.
