Your mission👇

Within the People & Office team of 10 members, reporting to Juliette - Senior Office Manager, you will support our French employees across offices in Paris, Nantes, Limoges, and Valbonne by ensuring seamless office operations, coordinating supplies, maintenance, safety compliance, reception duties, and onboarding, fostering a vibrant and efficient workplace environment throughout our French offices.

Key responsibilities

Welcome Desk (Paris focus):

  • Manage reception activities including visitor management, phone calls, and visitor log maintenance
  • Manage entry passes for on/offboarding and specific access such as parking
  • Handle mail and delivery management including sending, receiving, and distribution
  • Support requests such as ordering taxis and courier services
  • Manage meeting room schedules
  • Lead onboarding presentations for new employees
  • Coordinate the ordering of business cards
  • Office Management (France):

  • Procure and manage supplies, ensuring timely replenishment
  • Coordinate the ordering and setup of furniture
  • Manage service providers and coordinate their activities
  • Arrange catering orders and oversee setup
  • Maintain premises and liaise with landlords
  • Create and maintain signage as needed
  • Manage lockers in a flex. office environment
  • Ensure compliance with local safety regulations in collaboration with local HR
  • Administer Moffi, our hybrid work software, for administrative purposes
  • Handle daily requests from employees through Siit, our ticketing system
  • Assist employees with travel arrangements through Navan
  • Support the organization of events in the office to ensure the smoothest Employee Experience
  • About you 💪

  • You have good communication and customer service skills
  • You are rigorous and organized
  • You are autonomous, adaptable and have a sense of priorities
  • You wish to evolve in an international, multicultural environment, within a company culture focused on the well-being of employees
  • Fluent in French / Good basis in English
