Context and ambition

At Roundtable, launched early 2022 within the eFounders/Hexa startup studio, we’re building the infrastructure and social platform to democratise investment in private markets.

Thanks to a strong product-market-fit and a formidable growth of our customer base, we are by now the indisputable market leader in France & Benelux, and we officially opened Germany in 2024.

As a fast-growing startup, this role is essential in structuring and securing administrative and financial operations. With an increasingly international team, the Finance & Admin Manager / Office Manager will play a central role in continuously improving processes and tools to support the company’s expansion.

About the team

We are a team of 20 at Roundtable today and counting!

We’re founded by an experienced and highly complementary team:

  • Evan, CEO, ex BCG Principal with a focus on financial institutions (7y of work exp.)

  • Julien, CPO , ex BCG Lead Data Scientist (6y of work exp.)

  • Simon, CTO, serial CTO & founder (sold Hubware to Onepilot) (10y of work exp.)

About the role :

Objectives :

  • Ensure reliable and efficient financial and administrative management

  • Secure payroll processing and compliance with international HR regulations

  • Deliver a smooth employee experience from onboarding to offboarding while fostering company culture in daily operations

  • Structure and automate processes to support business growth

Human Resources

  • Oversee multi-country payroll operations

  • Ensure compliance with labor laws and regulations (occupational health requirements, legal monitoring and implementation of new laws, benefits administration, employee records, employee representative bodies, workplace risk assessments, etc.)

  • Manage onboarding and offboarding for various profiles (employees, interns, freelancers) across multiple countries (contracts, probation periods, termination procedures, equipment setup, tool access, and first-days integration)

  • Implement tools and reporting systems for headcount tracking

  • Manage employee mobility programs

  • Organize internal company events (two onsite and two offsite events per year)

  • Oversee employee training plans

  • Develop, update, and distribute internal policies and guidelines (remote work policy, right to disconnect, expense reimbursement policy, etc.)

  • Tools : Payfit, Deel, Alan, Swile, Notion, Primo, Trainline Business.

Billing & Collections

  • Issue B2B invoices

  • Monitor incoming payments

  • Oversee debt collection

  • Lead the invoicing system migration project in collaboration with the COO

  • Tools : Pennylane, Revolut Business, Google Sheets, Forest. Mid-term goal: Migration to Odoo.

Financial Management

  • Perform bank reconciliations

  • Track and validate purchase receipts

  • Process supplier payments

  • Categorize financial transactions within the financial analysis tool

  • Collaborate with the part-time CFO to ensure robust multi-entity financial management

  • Oversee and process tax and compliance payments across different entities

  • Tools : Pennylane, Entity-specific banks, Agicap, Fundcraft.

Administrative

  • Manage insurance contracts and handle claims when necessary

  • Maintain and organize company documentation

  • Ensure administrative compliance across different entities in coordination with the legal team (excluding operational matters)

  • Manage and optimize business subscriptions

  • Tools : Google Drive.

Facility Management

  • Oversee office budget management

  • Manage service providers and suppliers

  • Handle office supplies and equipment needs

  • Act as the main point of contact for landlords across different office locations

  • Ensure workplace safety (coordinate evacuation drills, check fire safety equipment and electrical installations, oversee emergency and first-aid training)


Profil recherché

About you :

  • You have 7+ years of experience in finance and administrative management.

  • Ownership mentality: you are a doer and have a bias for action, no task is below you.

  • You are rigorous, attentive and able to handle complex tasks.

  • You’re a detail-oriented multitasker, juggling tasks without losing sight of the big picture.

  • You’re a team player : you enjoy sharing and learning from each other.

  • You have a problem-solving mindset, always looking for ways to optimize financial processes and make things run more smoothly thanks to your organisational skills.

  • You speak and write French and English.

  • Trustworthy & discreet: you handle sensitive information with the utmost care and maintain accountability.

  • Bonus : You are interested in the private investment and the venture capital / private equity world.
