We are looking for a Workplace Experience Manager & Executive Assistant based in Paris. Reporting to our CEO and in collaboration with our Office Manager, you will take care of our Brevonauts by organizing and coordinating different kinds of initiatives and projects.
You will also provide top-level assistance to our CEO on his calendar management and work on strategic topics. This is an ideal position for a smart, motivated individual who is passionate about delivering strategic value and work in a high powered, collaborative environment.
As Workplace Experience Manager & Executive Assistant, you will:
Manage the entire facility for our new own office: security, HSE, providers, food & beverages, etcOrganize team building events for all the departments and for the whole global company (local and global offsites, LunchinGreen, DrinkingGreen, Christmas and Summer parties, etc)Liaise with event agencies, and manage budget in collaboration with our Finance TeamCoordinate with the IT department to ensure smooth operation of office technology, including managing hardware and software needs, facilitating troubleshooting requests from staff, and overseeing the setup of workstations for new employeesEnsure onboarding process is smooth for all the employeesMake domestic and international travel arrangements, manage visa procedures and process travel expense reports for ExCom membersPerform complex calendar management and organization for our CEOManage relationships with investors and management board and ensure information is well sharedLead and guide the team composed by our Office Manager and an apprenticeWhat will contribute to your success:
5+ years of experience as Office Manager/Executive Assistant or Event Coordinator/ManagerExcellent communication and writing skills in both English & FrenchExperience in similar start-up environments and international organizations preferableProven ability in managing multiple priorities, administrative coordination, and logisticsProactive, well-organized, detail-oriented, ability to multi-task with great follow-up skillsExcellent written and verbal communication skillsProficient in Google SuiteWhat we offer:
