Context

We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to a prominent family currently in the process of relocating to France.
We are looking for a bilingual (French & English or Spanish) executive assistant to manage the family’s administrative, scheduling, and communication needs. The ideal candidate will demonstrate exceptional discretion, an attention to details, a strong sense of ownership, and thrive in a fast-paced environment.

Position based in Paris + Travels.


Responsibilities

  • Administrative Support: Manage correspondence, including emails, phone calls, and postal mail. Ensure all communication is handled promptly and discreetly.

  • Schedule Management: Organize and maintain the family’s personal and professional calendars. Schedule appointments, meetings, and events, coordinating logistics to ensure smooth operations.

  • Travel Arrangements: Plan and book travel itineraries, including flights, accommodations, and ground transportation. Prepare detailed travel itineraries and ensure all necessary arrangements are made to meet the family’s needs.

  • Event Planning: Assist in organizing social and professional events, including family gatherings, business meetings, or others. Responsible for coordinating with vendors and service providers to ensure flawless event execution.

  • Financial Management: Responsible for execution of few and admin and our hase payments as required or needed. Payments. Will be in communication with the family’s  family office/accountant as required and for support.

  • Personal Tasks: Handle a variety of personal tasks and errands as needed, including shopping, reservations, and family support.

  • Confidentiality: Maintain the highest level of confidentiality and discretion in all aspects of the role, respecting the family’s privacy and security at all times.


Profil recherché

The successful candidate will be instrumental in managing the family’s daily administrative tasks, scheduling and communication needs, ensuring efficiency and confidentiality in all matters. The candidate must have a sense of ownership and urgency with all matters and be used to a rapidly changing pace.

The role requires a proactive, detail-oriented professional with a strong background as executive assistant fluent in French and English or Spanish.

  1. Experience: At least 5 years of proven experience as an Executive Assistant, preferably within a prominent or VIP setting.

  2. Languages: Fluency in French and  English.  Spanish is highly advantageous.

  3. Education: A bachelor’s degree in Business Administration, Hospitality, or a related field is preferred.

  4. Organizational Skills: Exceptional ability to organize, prioritize, and multitask in a fast-paced environment.

  5. Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with all levels of staff, external partners, and vendors.

  6. Discretion: Ability to handle sensitive information with the highest degree of integrity and confidentiality.

  7. Technology proficiency: Strong proficiency in Microsoft Office Suite, Google Workspace, and the ability to learn and adapt to new technologies.

  8. Flexibility: Must be flexible with the ability to work outside of standard hours, including evenings and weekends, as required.

  9. Travel: Willingness to travel both domestically and internationally as needed.

The candidate must have a sense of ownership and urgency with all matters and be used to a rapidly changing pace.

Déroulement des entretiens

  1. Initial Screening (30 minutes): A preliminary interview to assess your background, motivation and suitability for the role.

  2. In-Depth Interview (1 hour): A comprehensive conversation to discuss your past experience, future responsibilities and relevant skills. This part may include some Role-Play Exercises.

  3. On-site Interview : Final assessment of cultural fit, team meeting, and in-depth discussions about the role.
