Reporting to the People Operations Manager, the successful candidate will assist in running HR and payroll functions for Kiln in all our locations. This position requires strong attention to detail, excellent organisational skills, and a good understanding of HR and payroll processes. We're seeking a highly organised and proactive People Operations Associate to support our People team. This role is perfect for someone who thrives in a dynamic environment, is tech-savvy, and enjoys problem-solving.
Supporting Employees
including responding to frequent employee queries about HR policies, platforms, and procedures, such as holiday balances, expenses, and contracts.
Provide hands-on support with HR systems like Hibob, Deel, and Payfit, ensuring employees' information is accurate and up-to-date.
Resolve employee issues with Swile accounts, holiday balances, and other operational tools.
Onboarding & Offboarding
Prepare and distribute new hire welcome kits (swag, information, and IT equipment).
Manage onboarding logistics: set up meetings, create profiles in HR systems, and ensure all documentation is signed and stored.
Schedule probation meetings for managers and send reminders for completion.
Oversee exit processes, including farewell gifts, asset retrieval, and offboarding documentation.
Benefits & Compliance
Support transitions of benefits in France, the UK, the USA and Singapore, including adding employees manually and assisting with salary sacrifice pension schemes.
Work closely with Finance to streamline benefit allowances and pension policies.
Audit holiday entitlements (RTT) and ensure compliance with local regulations.
Policy & Documentation
Collaborate on key policy projects, including parental leave, harassment prevention, diversity, and workplace safety.
Maintain employee handbooks, update HR workflows, and assist with compliance documentation.
Proofread and format communications or presentations related to People Operations.
Proven experience (2+ years) in People Operations, HR, or administrative roles.
Exceptional organisational and multitasking abilities.
Proficiency in tools like Hibob (HRIS), Deel(EoR), Payfit, Notion and Google Spreadsheet (or Excel).
Strong written and verbal communication in French and English.
Ability to handle sensitive information with discretion and professionalism.
Basic understanding of French labor laws and global compliance standards.
Experience with onboarding/offboarding processes and benefits administration.
A proactive mindset with the ability to anticipate operational needs.
